Job Description

Our client is seeking a highly experienced Billing Coordinator to join its New York office. This role is integral to the financial operations team and is responsible for overseeing the full billing lifecycle for a group of assigned attorneys. The successful candidate will bring deep experience in legal billing systems, excellent communication skills, and a strong commitment to accuracy and timeliness. The role will also support various Finance Department functions beyond billing.

Responsibilities

  • Manage the complete billing process for a set of assigned billing attorneys, maintaining knowledge of client terms, discount arrangements, and billing preferences.
  • Generate monthly billing proformas in accordance with firm standards and timelines.
  • Review and revise invoices based on attorney instructions and client billing guidelines; maintain billing records and preferences in Elite 3E.
  • Submit electronic invoices through various e-billing platforms, ensuring adherence to client-specific guidelines.
  • Monitor invoice submissions to confirm acceptance, handle appeals for rejections, process timekeeper approvals, and manage rate updates as necessary.
  • Respond to billing inquiries from attorneys, staff, and clients regarding invoice details or proforma edits. Follow up regularly with attorneys to ensure bills are finalized and submitted in a timely fashion.
  • Conduct research to resolve billing issues or discrepancies related to pre-bills and billing history.
  • Prepare and distribute monthly statements of outstanding invoices to clients and track follow-up.

Requirements

  • Bachelor’s degree preferred, though not required.
  • Minimum of 5 years in a legal billing role or similar position.
  • Prior law firm or professional services billing experience strongly preferred.
  • Proficiency in Elite 3E Financial System, eBillingHub, and Paperless Proforma.
  • Strong command of Microsoft Word, Excel, and Outlook.
  • Demonstrated analytical abilities and experience working with LEDES file formats.
  • Familiarity with a wide range of e-billing platforms, including Legal Exchange, Serengeti, Counsel Link, Chubb, and Tymetrix.
