Job Description
Our client is seeking a Junior Billing Specialist to join its New York City office. This role plays a vital part in the firm’s finance operations by overseeing the full billing lifecycle for a portfolio of attorneys. The ideal candidate will possess a detail-oriented mindset and a customer-service orientation, capable of navigating complex billing requirements while maintaining strong communication with attorneys and support staff.
Responsibilities
- Manage the end-to-end billing process for 10 or more attorneys on a monthly basis.
- Review pre-bills for accuracy in rates, discounts, and formatting; make necessary edits and prepare final invoices.
- Work directly with attorneys and administrative assistants to ensure accurate and timely billing.
- Prepare and submit complex invoices including split-party, multi-payor, and flat fee/task code billing structures.
- Adhere to and document client-specific billing guidelines to ensure compliance and consistency. Submit invoices electronically and troubleshoot any e-billing issues promptly.
- Maintain updated billing procedures, deadlines, and attorney-specific preferences.
- Escalate billing concerns to management when needed for resolution.
- Respond to internal and external billing inquiries, conducting research when necessary.
- Generate reports and build spreadsheets to support billing operations and partner requests.
Requirements
- Bachelor’s degree with 1–2 years of billing experience in a large law firm environment.
- Familiarity with CMS Classic or AderantExpert is preferred.
- Proficiency in Microsoft Excel and Word required; ability to use formulas, formatting tools, and document templates effectively.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision while maintaining a high level of productivity and attention to detail.
- Demonstrated ability to establish positive working relationships across departments.
- Analytical and problem-solving capabilities with an aptitude for identifying and resolving issues.
- Comfortable working in a high-volume, deadline-driven environment.
- Effective multi-tasking, prioritization, and organizational skills.
- Flexibility to work outside of standard business hours when necessary.
