Job Description
Our client is seeking a highly organized and detail-driven Billing Specialist to join its Billing Department. This hybrid role is available in multiple locations including New York, Los Angeles, Boston, Washington, D.C., or Orange County. The ideal candidate will handle a high volume of complex client invoices while ensuring full compliance with attorney instructions, client billing guidelines, and internal procedures.
Responsibilities
- Process a high volume of monthly invoices, including split-party, flat fee, and multi-discount arrangements.
- Interpret and implement client-specific billing terms and special fee arrangements.
- Monitor billing activity against budgets and alert teams to potential overages or deficits.
- Maintain accurate billing instructions per client and billing professional.
- Review and edit pre-bills; ensure compliance with client guidelines before submission. Submit invoices via e-billing platforms and resolve any reductions or rejections promptly.
- Communicate regularly with attorneys, assistants, and clients to resolve billing issues.
- Collaborate with Accounts Payable and Collections to ensure accuracy and payment flow.
- Create custom billing schedules, analyses, and reporting upon request. Support special billing initiatives and projects as needed.
Requirements
- Minimum 2 years of legal billing experience; law firm environment preferred.
- Proficiency with billing systems such as Aderant; e-billing experience required.
- Strong communication skills and client-service orientation.
- Excellent attention to detail, organizational skills, and ability to follow instructions.
- Ability to prioritize, problem-solve, and meet deadlines in a fast-paced environment.
- Solid understanding of billing concepts, percentages, and general math.
- Proficient in Microsoft Excel and Word; strong grammar and writing skills.
- Comfortable working independently and as part of a team.
