Job Description
Our client is in search of a seasoned Litigation Legal Secretary to provide administrative and legal support to attorneys within a dynamic litigation practice. The ideal candidate will have a strong command of legal procedures and terminology, as well as exceptional organizational and communication skills.
Responsibilities:
- Prepares and edits legal documents, memoranda, correspondence, and emails from written drafts or transcription.
- Assembles and organizes materials, including exhibits, for court filings, hearings, arbitrations, mediations, depositions, and other legal proceedings.
- Reviews and proofreads documents to ensure accuracy in grammar, punctuation, and formatting in accordance with firm guidelines.
- Manages and distributes incoming mail and email communications appropriately.
- Coordinates and schedules appointments, meetings, and other engagements for attorneys.
- Maintains and updates attorney calendars, ensuring all critical deadlines and court dates are accurately recorded.
- Organizes and maintains client and chronological files, both physical and electronic.
- Operates computers and transcription devices to generate legal documents, as well as other office equipment such as copiers, fax machines, and postage meters.
Requirements:
- High school diploma or equivalent required.
- A minimum of five years’ experience as a litigation legal secretary.
- Proficiency in typing (minimum 70 words per minute), proofreading, and drafting legal correspondence and documents.
- Solid working knowledge of Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Familiarity with document management systems, especially iManage or similar platforms.
- Strong ability to manage multiple attorneys’ workloads, prioritize tasks, and meet deadlines.
- Excellent interpersonal communication skills for working professionally with attorneys, clients, staff, and vendors.
- Capable of operating general office and transcription equipment efficiently.
