JOB SUMMARY

A well-established law firm is seeking an experienced Legal Secretary to provide high-level administrative and secretarial support to attorneys, ensuring efficient management of litigation matters from inception through resolution. The role requires advanced organizational skills, attention to detail, and the ability to manage multiple cases in a fast-paced environment.

RESPONSIBILITIES

  • Draft, revise, and finalize legal documents, correspondence, memoranda, and emails.
  • Handle e-filings in state, federal, and administrative courts.
  • Assemble documents and exhibits for court filings, hearings, arbitrations, mediations, and depositions.
  • Proofread documents for accuracy, grammar, and compliance with firm formatting standards.
  • Create and update Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Schedule and coordinate appointments, meetings, and litigation deadlines.
  • Maintain and monitor attorney calendars and track critical case dates.
  • Process new client/matter intakes in accordance with firm procedures.
  • Utilize legal software and transcription tools for efficient document production.
  • Arrange attorney travel, including flights, hotels, and transportation.
  • Sort, route, and distribute incoming mail and emails.
  • Assist in preparing marketing materials such as pitch folders, attorney bios, and presentations.
  • Provide backup and overflow support for attorneys and staff as needed.
  • Maintain confidentiality of all firm, client, and personnel information.

QUALIFICATIONS

  • High School Diploma or equivalent required.
  • Minimum 5 years of litigation legal secretary experience.
  • Strong writing, editing, and proofreading skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with document management systems (iManage preferred).
  • Strong organizational skills with ability to prioritize tasks for multiple attorneys.
  • Excellent verbal, written, and interpersonal communication skills.
  • Proficient with office equipment, transcription devices, and advanced photocopiers.
  • Reliable attendance and punctuality.

PHYSICAL REQUIREMENTS

  • Prolonged sitting with frequent standing and walking
  • Regular computer use for document preparation and review
  • Clear verbal communication in person and via telephone
  • Occasional bending, climbing, or kneeling
  • Fine motor skills for typing and equipment use
  • Ability to lift up to 10 lbs
  • Flexibility to work overtime as needed
